Changes to the Owner Payment generate Process

Summary

We've fine-tuned the way you process payments in Palace, making it even more efficient and user-friendly. This improved workflow simplifies your payment processing tasks and ensures a smoother experience for users.

 

Initiate the Process

The beginning of the payment processing workflow remains consistent:

  1. Navigate to Financial > Transactions.
  2. Select Generate Owner Payments (Owner Payments).
  3. On the pop-up screen, click Process.

Upon clicking Process, the system initiates a background process to determine the payments required. A NEW page appears, showing the Owner Payments.

Note: If you have any antivirus software that may block pages, ensure you unblock this page. If nothing appears, check your browser bar for a pop-up blocker (indicated by a red cross) and clear it.

Manage Payments

The Owner Payments page provides the essential information you'd typically find in a report. Here's what you'll see:

  • Total number of transactions
  • Total amount selected
  • You can sort payments by cheque to identify payments set for this method.

Here, you can review payments as usual and deselect any you don't want to process.

If needed, you can print your Unprocessed Report.

Note: If you've opted to generate statements, don't forget to click the Collate button.

Note: If you're generating remittances, you won't see the Collate button. Continue to the next step.

Note: The unprocessed report may take some time to compile as it uses a different process to collate payments.

Complete the Payment Process

When you're ready to complete the payment process, click Process. Here's what happens:

  • The system collects the selected payments.
  • A change log entry is created to confirm the process has started.
  • The TaskLog entry is updated to reflect the total number of payments.
  • The online file is cleared.
  • The system triggers a progress-notifier box that updates every seven seconds. It will indicate when the Payment Process is completed.

Emailed Run Report

The final run report is triggered when the last payment is processed. This report will be emailed to the logged-in user and contains helpful links and meta-data about the run.

If you've generated remittances, the report will include a link directing you to another page.

If you've generated statements, the collation process will have already occurred, and you can proceed to the Owner Reports > Owner Statements area to generate these as usual.

Manage Remittances

If you've generated remittances, you'll be directed to a page displaying the transactions requiring remittance.

In case the table appears empty, a message will explain the possible reasons. Generally, this happens if you generate something else before creating remittances from the payment batch. In this case, you'll be guided to re-generate from History.

You have three options to choose from:

  • Email: Sends remittances via email to the owners.
  • Print: Creates printed copies of remittances for owners set to 'Paper' or 'Email and Paper'. This option also generates an Office Copy that includes all remittances, even for owners set to 'Email' only.
  • Print / Email: Combines both the email and print options.

Statements (Mid Month)

If you select statements in the batch options, you'll notice a slightly different interface on the Payment screen. Before proceeding to process, you'll be prompted to 'Collate.'

This collation process aligns with the Month-End procedure but specifically covers transactions leading up to the payments. Payments themselves are excluded. This feature is typically utilized during mid-month for those who send statements.

To Email or Print your Mid-Month statements, navigate to Owner Reports > Owner Statements. Within the drop-down menu, you'll find your Mid-Month statements, ready to be emailed or printed.

Note: You don't need to wait for the payments to complete to generate the statements. Once the payments are sent off for processing, you can proceed to generate your statements just as you normally would during End of Month processing.
