In Palace there are always a few different ways of doing things, a lot will depend on your companies policies and procedures. The same applies for charging out advertising.
You can set up each web site i.e Trade Me, as a creditor and process an Invoice Creditor transaction, then pay out the creditor or you can charge the owner through the Charge - Admin Fee transaction. This will put the money into a Palace fee ledger that you can then pay the invoice from.
There are advantages and disadvantages to both options Below are the instructions for both.
Invoicing through a Creditor:
Make sure you have set up the advertiser as a creditor i.e Trade Me
- Go to Transactions, click on the left hand down arrow
- Click on Invoice Creditor
- If you are charging more than one property, click on Rapid (Top hand right corner)
- Enter the property
- Enter the creditor
- Select the expense i.e Advertising
- Put in the amount and any references
- Click OK and continue with the next one.
This has now charged the owner and moved the money over to the creditor, waiting for payment to the creditor. Follow the instructions in the maintenance help file to pay the Creditor.
Charging Owner using the advertising Ledger:
Check that there is an advertising fee ledger set up.
Click on Ledger (Lefthand main menu) Check list – if there is not an advertising ledger Click on add
Description: Type in Advertising Account Type: Select fee
This will now create a ledger that will be available to pay out at each month end with your other ledgers.
Charging the Owner using the Advertisng Ledger:
- Go to Transactions, click on the left hand down arrow
- Click on Charge - Admin Fee
- If you are charging more than one property, click on Rapid (Top hand right corner)
- Enter the property
- Select the ledger from the drop down box
- Put in the amount and any references
- Click OK and continue with the next one.
- When finished click on cancel and then check the screen to make sure you have only charged once and then click on process
This has now charged the owner and moved the money across to your ledger.
