Summary

The Occupancy report provides valuable insights into the Occupancy Rates for each property. You have the flexibility to customize the report by filtering it based on management type, management group, user, and date range. Additionally, you can sort the report by either Owner Name or Property Address. If needed, the report can also include Inactive properties. The report presents essential information such as Owner's Name, Property Address, Property Start Date, Occupancy Percentage, Occupancy days, and Total days the property has been under management, allowing you to make informed decisions about property occupancy.

 

About the Occupancy Report

The occupancy report provides an accurate calculation of the occupancy percentage for each property by utilizing the tenant's start and end dates within the specified report generation date range (Date from and Date to fields). You can choose to include a property's start date in the calculation to determine comprehensive occupancy rates. Alternatively, you have the flexibility to disregard the property start date and analyze all current properties in your database.

By default, the report focuses on current data, giving you the option to generate statistics based on real-time information. However, you also have the ability to explore historical information, enabling you to conduct a comparative analysis between specific time periods. This feature empowers you to gain valuable insights and make informed decisions about property occupancy trends.

 

Generate Occupancy Report

You must have administrator privileges to access this area;

  1. Click on Insights (Left-hand menu)
  2. Select the option Insights > Miscellaneous > Occupancy
  3. The report menu will display as per the below example
  4. Select the relevant options and select 'Generate' or 'Export to Excel'.

Important Notes

Here are some important things to consider for the data that is generated for this report. The Property Start Date filter will determine what type of search we conduct for the report, here is a breakdown of each filter calculation;

 

Property Start Date = Include All

When you select this option, the system considers ALL current properties in the database (excluding archived ones), regardless of when they started with you. The search date is then applied to our tenants' records.

Based on the dates you specify in the search filter, we calculate the occupancy using our tenants' start and end dates within the defined criteria. Specifically, using the "Date From" field, we identify tenants whose start or vacate date is greater than or equal to this date. We exclude any tenants whose start or vacate date exceeds the "Date To" field. In other words, the report focuses on current or vacated tenants who started or vacated within the specified search period, while excluding any future tenancies.

 

Property Start Date = Within Selected Date Range;

When this setting is enabled, we focus on the property's "Start Date" as the primary search criteria. We exclude properties with a start date earlier than the "Date from" entry, as well as those with a start date later than the "Date to" entry. This ensures that we only include properties that started within the specified search period.

Once we have our refined list of properties, we proceed to the tenant search criteria. We retrieve tenants associated with the selected properties, considering their start or vacate dates. We include tenants whose start or vacate date is greater than or equal to the "Date From" field. Additionally, we exclude tenants whose start or vacate date exceeds the "Date To" field. Similar to the above filter, this means we focus on current or vacated tenants who started or vacated within the specified search period while excluding any future tenancies.
